  1. To ensure a smooth co-ordination between Sales Department, Front Office / Reservation Department, Food & Beverage Department and Credit Officer.

  2. To maintain the booking status on the Banquet Book and stay close collaboration with the Food & Beverage Manager. To send daily Event Summary & all Weekly Report in the absent of Event Executive.

  3. Delphi FDC Reports – Weekly / Monthly Delphi Report for all HOD’s / S&M

    • Daily Event Summary to be email out (in the absence of Event Executive)

    • Weekly Event Summary to be email out (in the absence of Event Executive)

    • Weekly update and emailed out subscription of Delphi Prospect, Tentative & Definite booking on the book.

    • To check weekly / monthly on all Delphi Users on the standard Delphi FDC SOP’s

    • Keep track in confirmed, tentative& lost booking, where the function rooms are concerned.

    • To trained Trainees of Sales Coordinator Task & Administrator

  4. Leads from Sales Department or any other source must be investigated and clients furnished with information within 24hours and to be given to the Director of Sales for approval. NO Proposal or Contract is to be out longer than 24 hours (excluding Public Holidays or Weekends)

  5. To follow all Events Executive Enquires Lead, Social function, conventions and other tentative banquet inquiries, converting these lead to positive commitment within the next 7 days (convert from Prospect to Tentative) or (convert from Tentative to Definite)

  6. All confirmation of contract must be with Deposit Payment (as per schedule in the contract). All contract must be sign by the client and must be in the file during handover to Banquet.

  7. To follow up all signed Corporate Rate letters within 7 days after sent to client. Sign copy to email to reservation, Front Desk, Sales manager, finance and Director of Sales.

  8. Care of small groups, meetings & events as exposure and training and career development.
